Speaker Guidelines

All speakers must register for OECC 2026 and wear their official conference name badge at all times while attending the conference. Name badges can be picked up at the registration desk on the first day of attendance.
Please review the following guidelines carefully when preparing your presentation.

1Overview

Authors of accepted oral presentations should prepare their slides in Microsoft PowerPoint (.pptx) or PDF format and deliver their presentations during the assigned oral session.

  • Presentation language: English
  • Slide format: A 16:9 widescreen aspect ratio is recommended. Slides prepared in 4:3 may result in unused screen space, scaling issues, or layout distortion.
  • Presentation file format: PowerPoint (.pptx) or PDF
  • Arrival at the Session Room: Speakers should arrive at their assigned session room at least 15 minutes before the session starts to meet the Session Chairs and confirm the presentation setup.

The Session Chairs will manage the schedule strictly to ensure smooth operation of the conference program. Each presentation time includes Q&A.

2Presentation Equipment

  • A presentation computer will be available in each session room. Speakers are strongly encouraged to use the conference-provided computer.
  • Speakers should bring their presentation files on a USB flash drive. A backup copy is strongly recommended.
  • Speakers should prepare their presentations in PowerPoint (.pptx) or PDF format and verify in advance that the files display correctly.
  • Speakers who plan to use their own laptop must notify the session staff in advance and bring all necessary accessories, including the proper power adapter and connection cables. HDMI connections will be available. MacBook users must bring the appropriate HDMI adapter or converter.
  • To prevent unexpected delays, the use of personal laptops is not recommended unless absolutely necessary.

3Specifications of the Conference-Provided Presentation Computer

  • Operating system: Windows 11 Pro, English version
  • Presentation software: Microsoft PowerPoint, included in Microsoft Office LTSC Standard 2024
  • Video playback software: Windows Media Player and PotPlayer
  • upported fonts: Windows standard fonts
    Standard Windows fonts are strongly recommended to avoid display issues or font substitution during presentations.
    If special fonts are used, please embed them in the PowerPoint file or convert the presentation to PDF format.

1Overview

Authors of accepted posters should present their work during the assigned poster session. The presentation schedule will be available in the official program on the OECC 2026 website.

  • Each poster board will display the corresponding paper ID, presentation title, and author information. Authors should confirm their assigned board before mounting their posters.
  • Authors must remain at their assigned poster board during the scheduled poster session.
  • Posters must be mounted and removed within the designated time slots as listed below:

2Poster Size and Format

  • The maximum poster size is 0.9 m (W) × 1.2 m (H).
  • Posters must include the paper title, author names, and affiliations.
  • Authors are encouraged to use clear layouts with readable fonts, figures, and section headings to effectively present the objectives, methods, results, and conclusions of their work.

3Poster Setup and Board Assignment

  • Posters must be mounted using the push pins provided in the poster presentation area. Adhesive materials such as tape or glue are not permitted.
  • Poster boards will be assigned according to the official program and on-site signage, and authors should confirm their assigned board before mounting their posters.
  • Electrical power, audiovisual equipment, tables, and chairs will not be provided for poster presentations.

4Responsibility and Poster Removal

  • Authors are responsible for the setup and removal of their posters. The Secretariat is not responsible for any loss or damage to posters or related materials.
  • All posters must be removed during the designated removal period. Any materials left after the designated time may be discarded by the Secretariat without prior notice.
